Purpose: The Library System offers Meeting Room use as a service to the community. Rooms are available to groups regardless of the beliefs or affiliations of their members. All activities must be free and open to public.  

 

Limitations: Meeting Rooms are not available for private social gatherings (such as parties or entertainment). Meeting rooms are not available for fundraising. Meeting rooms shall not be used by outside groups or organizations to sell any materials, goods or services. Meeting rooms may not be used more than twice a week by the same individual, organization or group.   

 

Reservation Period: Meeting Room reservations are made on a six month basis. Reservations for January 1 to June 30 are accepted after Nov 1 and reservations for July 1 to December 31 are accepted after May 1. A new application must be completed each reservation period and/or any time the contact for the organization changes.

 

Availability: Rooms will be available during normal library hours; however, special arrangements may be made with library personnel to use the room after library hours.

 

Who Can Reserve: A person must be 18 or older to reserve a meeting room.

 

Publicity: Groups using Library meeting rooms must not use advertising and/or publicity which imply that their programs are sponsored, co-sponsored, endorsed or approved by the Library, unless written permission to do so has been previously given by the Library.

 

Food and Drink: Light refreshments, excluding alcoholic beverages, may be served. Organizations are required to provide their own utensils and are responsible for clean-up.

 

Responsibilities: Organizations are responsible for setting up the rooms according to their needs and should include time for set-up and clean-up into their reservation time. Janitorial services are not available. Rooms must be left in the same condition as they are found. Users will be responsible for any damage to the room or equipment in the room. The Library is not responsible for equipment or personal articles left in the meeting rooms. 

 

Smoking: Smoking both tobacco products and non-tobacco products (e.g., e-cigarettes, vaping) is not permitted in the meeting rooms.   

 

Library Use: Room reservations may be canceled to accommodate library programs.

 

Exceptions to these policies are possible only by permission of the Library Director. Future meeting use may be denied to any group or individual that violates these regulations.
